Start with the commercial specification
Name the commodity, grade and intended use. For grains, rice, sugar, oils, pulses and milling products, the buying specification should distinguish the attributes that actually affect acceptance.
Where the buyer works to an internal or customer specification, attach it to the RFQ rather than relying only on a generic product name.
Origin, crop and processing basis
State whether origin is mandatory or simply preferred. For agricultural commodities, crop period or production season may matter to the buyer and should be identified if relevant.
For processed products, identify the required refining, milling, grading or packing basis without assuming that all exporters use the same commercial terminology.
Packing and shipment format
Define bag size, bulk format, containerization, palletization or tanker/flexitank requirements as applicable to the product.
Confirm whether the buyer needs retail-ready packaging, industrial packaging or bulk shipment. Packaging can materially affect price, loading efficiency and destination handling.
Quality, food safety and inspection
Identify the quality parameters and destination documents required by the buyer or importing authority. Depending on the commodity and route, this may include product analysis, origin, health or sanitary documentation and third-party inspection when agreed.
Sampling and testing should be tied to the contract specification and the agreed point of inspection.
Destination and logistics
Provide the exact destination port or delivery location, required shipment window and expected lot size.
Consider storage, temperature or handling constraints where relevant to the commodity. The logistics basis should be confirmed before finalizing the commercial offer.
Commercial comparison
Compare offers on the same Incoterm, quantity, packing and document basis. A low headline price can be misleading if another offer includes different freight, inspection, packing or destination obligations.
