Define the grade precisely
Use the exact requested product description—such as ICUMSA 45 white refined sugar—and attach any buyer specification that governs acceptance.
Do not rely only on the phrase “white sugar.” The RFQ should state the required grade and any additional buyer or destination parameters.
State quantity and shipment programme
Provide the total quantity and indicate whether the requirement is one shipment or a recurring programme.
If monthly deliveries are expected, show the intended lot size and schedule so freight and supply planning can be assessed correctly.
Origin and packing
State whether origin is mandatory, preferred or open to technically acceptable alternatives.
Specify the required packing format and bag size rather than assuming a default. If palletization or container loading pattern matters, include it in the enquiry.
الفحص and documents
Identify whether pre-shipment inspection, sampling or laboratory verification is required and who is expected to appoint the inspector.
Document requirements should be agreed transaction-by-transaction and may include invoice, packing list, transport document, certificate of origin, product quality documents and destination-specific certificates where applicable.
Destination, Incoterm and timing
Name the destination port and the preferred Incoterm. Include the required shipment or arrival window.
Freight, port conditions, packing and shipment size should be assessed together; comparing offers on different delivery bases can distort the apparent price.
Red flags in an enquiry
Avoid vague enquiries that omit quantity, destination or packing.
Treat unverified stock claims, unrealistic execution timelines and incomplete counterparty information as matters requiring further verification before commercial commitment.
