Define machine class and duty

State the machine type and intended duty—excavation, loading, grading, lifting, crushing, concrete production, port handling or another application.

Include the required operating weight, capacity, reach, bucket size, lifting duty or other project-critical performance parameters where applicable.

Specify whether the requirement is factory new, unused/zero-hour stock or another acceptable condition.

If model year or manufacturing year is important, state the acceptable range explicitly.

Technical configuration

Identify engine/emissions requirements, drivetrain, undercarriage, tyre specification, boom or attachment configuration, cab options and destination voltage/frequency where relevant to stationary equipment.

For concrete, quarry and processing plants, include required production capacity and the expected material or mix basis.

State whether pre-shipment inspection, serial-number verification, running test, hour-meter check or third-party inspection is required.

Request the documents necessary for export, import and destination registration as applicable to the equipment type and country.

Spares, warranty and support

If a starter spares package, consumables, tools, manuals or training are required, include them in the RFQ so offers remain comparable.

Warranty terms should be confirmed for the specific asset, supplier and destination rather than assumed from a generic catalogue.

Shipping and destination

Provide destination port, final site if relevant, preferred Incoterm and delivery deadline. Machine dimensions and weight affect container, flat-rack, Ro-Ro or breakbulk planning.
