Specify the exact grade and standard
Name the required paving grade, oxidized grade, emulsion or polymer-modified product and the applicable project or buyer specification.
Where an equivalent grade may be accepted, state the equivalency criteria rather than leaving the substitution open.
Packing or bulk delivery
Confirm whether supply is required in bulk, drums, bags or another agreed format applicable to the grade.
Packing choice affects handling, storage, freight and discharge requirements and should therefore be part of the RFQ.

State total quantity, lot size and required delivery window.
For recurring programmes, indicate expected monthly call-offs and whether storage or tank capacity at destination limits shipment size.
Quality and inspection
Define certificate-of-analysis requirements, sampling, testing and any third-party inspection expected under the contract.
Acceptance should be tied to the agreed specification and inspection basis, not only to the commercial product name.
Destination and Incoterms
Provide the exact port or project destination, preferred Incoterm and any special discharge or site-access conditions.
For bulk deliveries, confirm handling assumptions early because vessel, terminal and storage arrangements influence execution.
